SiteScribe AI ("we", "us", "our") provides a document preparation service for professionals working in the UK construction industry. We convert rough notes, voice summaries, and brief descriptions into formatted documents including meeting minutes, snagging reports, and client progress reports.

By submitting a request to SiteScribe AI, you agree to these terms.

2. Nature of the service

SiteScribe AI is a document preparation and formatting service. We are not a law firm, architectural practice, engineering consultancy, or construction professional in a regulated sense. Our documents are prepared to assist you in communicating project information — they are a starting point for professional review, not a substitute for it.

SiteScribe AI does not provide:
  • Legal advice or legal opinion of any kind
  • Contractual advice, including interpretation of construction contracts (JCT, NEC, or otherwise)
  • Professional design advice, including structural, mechanical, electrical, or architectural opinion
  • Health and safety consultancy or CDM advice
  • Quantity surveying, valuation, or cost advice

Any content in a document prepared by SiteScribe that touches on contractual positions, defect liability, or professional standards reflects only the information you provided and is not a professional opinion. If you require professional advice, you should consult a suitably qualified and regulated professional.

3. Your responsibilities

You are responsible for:

  • Reviewing every document before issue. SiteScribe documents must be checked by a competent person before being sent to any third party. Do not issue a document directly without review.
  • The accuracy of the information you provide. Our documents reflect what you tell us. If the information you submit is incomplete or inaccurate, the document will reflect that.
  • Ensuring the document is appropriate for its purpose. You know the contractual context, the people involved, and the consequences of the document. We do not.
  • Not submitting confidential information. Please do not include full project addresses, client or contractor names, commercially sensitive figures, or legally privileged information in your brief. See our Confidentiality page for guidance.
  • Compliance with applicable law. You must not use this service to prepare documents intended to mislead, defraud, or harm any party.

4. Free sample requests

We offer a free sample document to allow you to evaluate the quality of the service before committing to a paid arrangement. The free sample is limited to one page of rough meeting notes or up to five snagging items. We reserve the right to decline requests that fall outside this scope or that contain inappropriate content.

The free sample is provided without warranty. We make reasonable efforts to produce a useful, well-formatted document but do not guarantee that it will be suitable for issue in every circumstance.

5. Intellectual property

Once you have received a completed document, the document belongs to you. SiteScribe AI retains no ownership of documents prepared on your behalf.

The SiteScribe AI website, brand, and service methodology remain our intellectual property. You may not reproduce or resell our service, templates, or processes without written permission.

6. Limitation of liability

To the fullest extent permitted by applicable law:

  • SiteScribe AI's total liability for any claim arising from use of this service shall not exceed the amount paid for the document in question (or zero, in the case of a free sample).
  • We are not liable for any indirect, consequential, or economic loss arising from the use or non-use of a document we have prepared, including but not limited to losses arising from contractual disputes, defect claims, or professional liability.
  • We are not liable for errors or omissions in documents where those errors result from inaccurate, incomplete, or misleading information provided by you.

Nothing in these terms limits our liability for fraud, death, or personal injury caused by our negligence.

7. Service availability

We aim to return completed documents within one working day of receiving your brief. This is a target, not a guarantee. Turnaround times may vary during periods of high demand, bank holidays, or unforeseen circumstances. We will notify you if your document is likely to be delayed.

8. Amendments and revisions

We include one round of amendments with every document. If you believe something has been misrepresented or omitted based on the information you provided, contact us and we will revise it. Amendments requested because the brief you submitted was incomplete or changed after submission may be subject to an additional charge.

9. Governing law

These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

10. Changes to these terms

We may update these terms from time to time. The date at the top of this page shows when they were last revised. Continued use of the service constitutes acceptance of the current terms.
